Companion to the video “How to Build Your Own Flashcard System with ChatGPT”. Everything I do on screen is below, step by step, with screenshots. The two texts you need to copy are at the bottom of the page.

⏱
About 20 to 30 minutes, done once. You need a ChatGPT Plus or Pro plan (the free plan is not enough for this setup) and a Google account. At the end you have a ChatGPT project that adds your words to a Google Sheet, quizzes you from it, updates your progress, and starts a review every evening.

p02_sheet_before
In Google Sheets, create a Sheet called “Language Vocabulary Bank”. Row 1 holds nine headers, in this exact order. Don’t rename them and don’t move them: the rules you give ChatGPT forbid it to touch the structure.
| Column | What goes in |
|---|---|
| French | The word or expression |
| Meaning | What it means, in English |
| Explanation / nuance | Register, nuance, trap (for example “not exactly culture shock”) |
| My real context | Why you wanted to say it. This is your memory hook. |
| Example | A natural sentence |
| Added on | Date, written YYYY-MM-DD |
| Status | New, Learning 1, Learning 2, Learning 3 or Learned |
| Last tested | Date of the last review |
| Successful recalls | How many sessions you got it right on the first try |
Fastest way: make a copy of the template Sheet, it already has these nine headers. Or create a new Google Sheet and type them in row 1, exactly as they are written. Then copy your Sheet’s ID: it is the long string in the address bar, between /d/ and /edit. You need it in step 3.

🔒
Keep the Sheet private (“Restricted”). ChatGPT reaches it through your Google connection (step 2), not through a public link. Put only vocabulary in it, never personal information.

ChatGPT needs your permission to open and write to the Sheet. In ChatGPT, open Settings, then Apps (also called connectors), and connect Google Sheets (or Google Drive). Accept the permissions, including the one that lets it edit. Without editing rights it can read your words but never save a new one. Menu names move around: if you can’t find it, search “Google Sheets” in the Apps list.

p01_project
In ChatGPT, create a new Project and call it “Vocabulary Tutor”. A project is a folder: a set of rules and a memory that stay inside it. This is what you get: an empty project, ready for chats.

g01_project_menu
Click the ⋯ button at the top right of the project, then Project settings.

g02_project_instructions
In Instructions, paste the starting prompt (copy-paste block at the bottom of this page). Replace [YOUR SHEET ID] with your own ID. If your Sheet has another name, change it in the first paragraph too. I also set the project memory to Project only, so nothing leaks into my other chats.
What these rules say, in short: the Sheet is the source of truth. ChatGPT proposes to add a word, you choose. A session is up to 10 new words plus the ones that are due. It never puts the answer in the question. A wrong answer gets a hint and one retake. A word moves up one level at a time. If you don’t answer, nothing changes.

p03_added
Open a chat in the project and ask for something you really need to say. Mine: how to say “I’m running late” to a friend versus to my boss. ChatGPT answers, and if the answer contains a word, an expression or a nuance, it offers to add it. Say yes.
It writes one row: meaning, nuance, your real context, an example, Added on = today, Status = New. Open your Sheet: the row is at the bottom (in my first screenshot, it is row 14, “être à la bourre”).
Tip: tell ChatGPT why you need the word. That sentence becomes the “My real context” column, and it is what helps you remember later.

p04a_review_start
In the project, write “Let’s review my French.” ChatGPT starts straight away with question 1, no preamble, one question at a time.

p04b_question1
The question never contains the answer. It builds a situation from your real context and you have to find the word. Answer in French, typed or dictated.

p05_wrong
Here I answered “Je suis un peu cafard”. Close, but the expression is “avoir le cafard”. ChatGPT corrects me and says it will ask again later in the session. It asks once more, never a third time, and a word failed on the first try does not level up in that session.

p06_levelup
A correct answer on the first try moves the word up exactly one level: New, Learning 1, Learning 2, Learning 3, Learned. Here: Learning 2 → Learning 3.

p07_learned
And here: Learning 3 → Learned. A word moves up at most once per day.

p08a_retake
The retake of “avoir le cafard”: correct this time, but the word stays at Learning 1 (“kept, no progression this time”). Then ChatGPT closes the session with a short recap.

⚠️
This is not a real spaced-repetition algorithm like Anki. The intervals are fixed and the same for every word: a word that failed comes back at once, then after 1 day (Learning 1), 3 days (Learning 2), 7 days (Learning 3) and 21 days (Learned). It is a simple tutor loop that works from your own context, nothing more.

p09_sheet_after
Back in the Sheet: Status, Last tested and Successful recalls were updated row by row. ChatGPT writes each row as soon as the word is evaluated, not at the end of the session.
If “Last tested” shows numbers like 46305 instead of dates, it is only the cell format: select the column, then Format → Number → Date.

t01_dialog
This is the part that makes it a habit. In ChatGPT, open the Scheduled page (clock icon in the left bar) and click New task.

t02_prompt
Paste the task text (second copy-paste block at the bottom). One thing to know: a scheduled task can’t see your project files. So the full rules, with your Sheet ID, must be inside the task itself, or it knows nothing.

t03_time
Set it to repeat daily, pick your time (mine: 21:00, Korea time, so choose the one for your time zone) and leave the end on never.

t04_created
Click Create. Every evening ChatGPT now starts a session and asks you the first question. If you answer, it writes to the Sheet. If you don’t, nothing happens: no guilt, no streak. If you change the rules one day, change them in both places, the project and the task.

⏱

| Colonne | Ce qu’on y met |
|---|---|
| French | Le mot ou l’expression |
| Meaning | Ce que ça veut dire, en anglais |
| Explanation / nuance | Registre, nuance, piège (par exemple « pas exactement du dépaysement ») |
| My real context | Pourquoi tu voulais le dire. C’est ton crochet de mémoire. |
| Example | Une phrase naturelle |
| Added on | Date, écrite AAAA-MM-JJ (YYYY-MM-DD) |
| Status | New, Learning 1, Learning 2, Learning 3 ou Learned |
| Last tested | Date de la dernière révision |
| Successful recalls | Nombre de sessions où tu l’as su du premier coup |
Le plus rapide : fais une copie de la Sheet modèle, elle a déjà ces neuf en-têtes. Sinon, crée une nouvelle Google Sheet et tape-les sur la ligne 1, exactement tels qu’ils sont écrits. Ensuite, copie l’ID de ta Sheet : c’est la longue suite de caractères dans la barre d’adresse, entre /d/ et /edit. Tu en as besoin à l’étape 3.

🔒

Remplace [YOUR SHEET ID] par ton propre ID.

Astuce : dis à ChatGPT pourquoi tu as besoin du mot. Cette phrase devient la colonne « My real context », et c’est elle qui t’aide à t’en souvenir plus tard.
